Operations / Project Assistant

SHRA is a small, woman-owned, historical research firm in Boise, Idaho.

SHRA is looking for an operations/project assistant. The ideal candidate is highly organized, detail-oriented, and dynamic. He or she may come from a paralegal background and should also have a natural and demonstrated interest in history. Candidates should be exceptional communicators, including demonstrated flawless, fluent writing skills; we would prefer that candidates have three to five years’ experience working in an office environment, and an Associate’s degree or higher may be beneficial. The successful candidate will report to SHRA’s principal but will be an integral part of the entire research team as our primary support staff. Tasks will be both administrative and substantive in nature.

Project Support

  • Photographs, organizes, and processes (convert formats, digital filing) project sources collected on research trips or from libraries
  • Researches general legal and academic sources via various databases, including LexisNexis, Nexis Uni, JSTOR, etc.
  • Updates project databases with status and location of electronic and paper sources; annotates physical sources with project and location information and files
  • Backs up project sources to ensure all digitally collected sources are on both Dropbox and the projects’ jump drives
  • Enters and updates footnotes for project deliverables in Zotero or other required formatting processes
  • Takes and collects sources to outside vendor for processing; manages timing of that work
  • Sets up and closes (in coordination with staff) projects, including project binders, jump drives, files, etc.
  • In legal matters, works with clients to provide documentation and production needs
  • Backs up Google sheets, flash drives, and other materials on a weekly basis
  • Some out-of-town, multi-overnight travel may be required
  • Additional duties as assigned

Administrative Support

  • Evaluates, manages, and redesigns, as appropriate, the SHRA Reference Library to include more responsive cataloging.
  • Implements changes, maintains, and backs up SHRA Reference Library at least monthly
  • Familiar to proficient in InDesign and the Adobe Suite programs to do graphic design work for project deliverables
  • Takes and types up SHRA meeting minutes, saves minutes to Dropbox for future reference
  • Arranges travel schedules for research trips for Principal and/or other SHRA employees
  • Investigates and documents hours and policies of research repositories, both local and national
  • Light receptionist duties, to include answering office phone
  • Proficiency with all Microsoft Office programs, including Access, Word, Excel, Powerpoint, etc.
  • Additional duties as assigned

Marketing and Business Development Support

  • Review requests for proposals regularly
  • Maintains all documentation, membership, and certifications for SHRA
  • Supports Principal, Cultural Resources Specialist, and Office Manager in maintaining contacts database and newsletter subscription lists
  • Additional duties as assigned

Position Information:

30-40 hours/week in the SHRA offices in Boise, Idaho


Pay will be hourly DOE. SHRA offers a compensation package that includes a retirement plan, paid vacation, and holiday leave. The wage for this position will be commensurate with the applicant’s credentials, experience, and market forces.
